PWR Job Planning KPI Report
We are pleased to introduce a new Job Planning update designed to support NHS England’s Job Planning Workforce Return (PWR) requirements. This enhancement provides a dedicated PWR reporting page, improved grade filtering, and clearer compliance visibility for Consultants and SAS Doctors. We hope this makes PWR submissions more straightforward and reduces the need for manual tracking. Our team has worked closely on this functionality to ensure it aligns with national definitions while remaining simple and practical for administrators to use.
1. Access
The PWR reporting page is available at ADMIN > Job Planning > Job Plan PWR Report. Access is restricted to Administrators and Job Planning (JP) Administrators.
2. What the PWR Report Shows
The report displays Job Plan sign-off compliance for Consultants and SAS Doctors. Compliance aligns with the national NHSE metric:
Most recent job plan sign-off occurred within the past 12 months (rolling 12-month period), signed by the doctor and their clinical manager/service lead (or nominee), and recorded either on paper or within an e-job plan system.
How compliance is determined
A doctor is counted as compliant if:
- The Job Plan owner has signed off, or
- the next tier signatory has signed off, and
- this sign-off occurred within the last 12 months (rolling period).
Offline job plans are counted as compliant where the completion date falls within the same rolling 12-month period.
3. Reporting Date and “Last Day of the Month” [IMPORTANT]
PWR figures are calculated in real time when the page is loaded and always reflect the current rolling 12-month position. This means that:
- The system does not store historic snapshots, and
- you cannot retrospectively recreate what the compliance position was on a previous date (for example, the last day of the month).
If your PWR return must reflect the last day of the month, please follow these steps:
- Access the PWR report on the final calendar day of the month.
- Export the CSV on that date.
- Retain that export for submission and audit purposes.
If you access the report after month end, the figures will reflect the position on the day you load the page, not the previous month-end position. We recommend setting a recurring calendar reminder for month-end exports if this is required for your PWR submission process.
4. New User Grade Field
A new Grade field has been added to user accounts. Available values are:
- Consultant,
- Associate Specialist,
- Specialist Grade, and
- Specialty Doctor.
Doctors are not able to see or set their own grade on SARD, this must be set by someone with the Administrator role.
5. How Grades Were Initially Set
To support implementation, we have used the Contract Type selected by doctors within their Job Plan to set grades where possible, where a doctor had not selected a contract type, or is not SAS or Consultant. We have not automatically set a grade. Those users will need to be reviewed and updated locally.
6. How to Identify and Update Missing Grades
- Download users by going to ADMIN > User Data > All Users > Download Users CSV.
- In the CSV file, filter the Grade column to blanks, and filter the Job Planning column to 'Yes'. This will show users who have access to Job Planning but do not currently have a grade recorded.
- Update the grades by filtering the Grade column to blanks (Consultant, Associate Specialist, Specialist Grade, Specialist Doctor). The wording must match exactly, including capital letters, for the import to work correctly. You must save the updated file as a CSV.
- Reimport the Updated Grades by going to ADMIN > User Data > User Update Import > upload your updated CSV and select Update Grade > follow the standard User Update Import process.
7. Advanced Job Plan Report Enhancements
The Advanced Job Plan Report now includes a Grade multi-select filter and a “No Grade” option. This allows you to:
- Filter specifically to Consultants,
- filter specifically to SAS grades, and
- identify users without a grade recorded.
Recommended Admin Actions:
- Review and complete Grade fields.
- Confirm all Consultants and SAS Doctors are correctly classified.
- Check PWR compliance percentage.
- Export figures on the last calendar day of the month if required.
- Retain CSV exports for audit.
