How do I sign off a Job Plan for which I am a signatory?
This article would not apply to those trying to sign off their own Job Plan. If this is the case for you, please read our separate How do I sign off my Job Plan? article.
The signing off of a Job Plan is quite a simple process, as this will always be accomplished by clicking the green Sign button next to your name in the final Sign Off section of the Job Plan. Navigating to that section is the important distinction, and this is laid out below.
As a Job Plan signatory, you’ll have a tab marked Job Planning at the top of the page, which will show a drop down menu including Job Plan sign off.
If you click into that box, you’ll see up to four options;
Job Plans requiring your signature now
This box will link you to any Job Plans wherein you are listed as a signatory that are ready to be signed off. Click this box and you can click to view any of the Job Plans currently requiring your signature.
Job Plans requiring your signature in the future
This will show all Job Plans that have been submitted for sign off, but are awaiting signatories before you to sign before it gets to you. You can access and sign these off in the same way as with the “Job plans requiring your signature now” section, but it's likely that your organisation would prefer for you to wait until the lower tiered signatories have signed off, so you can sign off in hierarchical order.
Job plans that you’re a signatory for that are currently in draft
As a signatory, you’ll be able to access, read and even edit the job plan if this would be a help to the Job Plan owner, but you will not be able to sign this while in Draft state; if the Job Plan owner has not yet submitted it to show it’s ready to be signed off, this will need to be actioned before you can complete your part of the process.
Job Plans you’ve already signed
This can be used as a handy guide to the Job Plans you’ve already signed, and whether these have been subsequently marked as Complete, or are still awaiting some further signatures.
If you are being asked to sign off a Job Plan by your organisation or the owner of the Job Plan, but this is not showing in any of the above four sections, this means you’ve either not been added as a signatory to date, or, more commonly, your email address has been added incorrectly. The email notification will be sent to the address listed in the Job Plan, so if this differs from the email address linked to your SARD account, you would need to use guest access to sign this off, or wait for this to be changed.
If you've been asked to sign off a Job Plan as a non-SARD user yourself, you will be notified by email when you're due to sign off the Job Plan in question - this email will include a link, which will take you directly to this Job Plan when clicked. You can then review and sign off in the necessary section using this guest access; the layout would be no different here, and the option to Sign will show in green on the right hand side of your name in the Sign Off section.

If you've been asked to sign off a Job Plan as a non-SARD user yourself, you will be notified by email when you're due to sign off the Job Plan in question - this email will include a link, which will take you directly to this Job Plan when clicked. You can then review and sign off in the necessary section using this guest access; the layout would be no different here, and the option to Sign will show in green on the right hand side of your name in the Sign Off section.
