How do I share my Job Plan as a template?

The first thing to be aware of is that you do not need to do this simply to use your Job Plan as a template for your next Job Plan. If you want to use your Job Plan as a template for your next Job Plan that will automatically be an option when you open your next Job Plan. This link will take you to our helpdesk article on opening a New Job Plan using information from your previous Job Plan on the site.

Sharing your Job Plan as a template shares it with everyone with the Job Planning product at your organisation. Therefore, it is important not to use this option if you do not wish to give access to details of your Job Plan timetable to others at your organisation.

With that said, it may well be the case that your Job Plan would be a really useful tool for others at your organisation; it could be that there are a number of consultants within your specialty who have the same or similar information in the timetable, or a complex rotational activity shared by multiple individuals in your team.
However, there are some things to be aware of; while the vast majority of the information you’ve entered won’t be uploaded to the template, some things will. The Timetable will copy across, as well information from the "Objectives", "Supporting Resources" and "General Discussion" sections.

To share this, on your Job Plan page, click the green Share as Template button at the top of the page, and a pop-up box will appear to confirm that you're happy for this to take place. This pop-up will list the detail from your Job Plan that will NOT copy across to the template. Once you've clicked the green button to confirm this, the template will be shared.

As the Objectives would copy over automatically, but as these may be more specific to your own Job Plan rather than others within your organisation, you may wish for these to not be included in the Template. In this case, you would either be best advised sharing the template before the Objectives have been added, or deleting these from the template. To do so, once the template has been shared you would need to go to Your Job Plans on your SARD Dashboard page, and click to view the template under the subheading Your Shared Job Plan Templates. From there, you can go to the Objectives section, and delete these as appropriate.

Your shared Job Plan template is essentially now a separate document; changes made there will not affect your actual Job Plan, and changes made to your actual Job Plan will not make any difference to a template which has already been created.
