ADMINISTRATOR: Generating and Sending Bundles

This article would only be applicable to users with an Administrator system role on their account, as this feature would not be accessible for non-administrator users.

You may occasionally receive queries from users requesting a download of all their information from their SARD account; this may be particularly the case if a user is leaving/has left your organisation and is not moving to another organisation that uses SARD. These can be sent over in a couple of different manners, and recently this functionality has been made available for Administrator users.

If the user is moving to another organisation that does use SARD, we would be able to undertake an account transfer to move the information over to their new account. This would only require authorisation from the new organisation, so you may just need to advise the user to contact the administrators at that organisation so that this can be actioned.

Appraisal Bundles


Appraisal Bundles would take the form of a zip file, containing all information and attachments from a particular appraisal that they've completed on the SARD site. Once the bundle is generated, this can be sent to a user to download, and will include the information for a particular year's appraisal. To do so, you would need to search for the user in question, and select the Appraisals page on their usercard. The option to generate a bundle will show towards the bottom of that page:



Once you've clicked to generate this, a follow-up page will appear to confirm this is underway:



After a short while (roughly a minute), the bundle will have been generated and can be sent to the user. You can click to download the bundle, so that a zip file can be sent to them, but you would be best advised instead clicking the Email Link button to open an email template, with the information included as a downloadable link.



The user will need to access the link/s within 24 hours in order to download this to their device, as a necessary security measure; the link will expire after this time, so if they do not reach this deadline, the link would need to be re-sent. This would not mean that the bundle needs to be generated again, just the Email Link option will be sufficient here.

Please note that Appraisal Bundles would only be available as an option for Complete appraisals, not those in Draft or Submitted state.

eDoc Bundles


If a user is looking to download all eDocuments from their account, regardless of when they were uploaded, an eDocument bundle would be of most use here. In particular, this would be used if the user hasn't completed an appraisal for a particular year, and they're moving organisations while this remains in Draft or Submitted state.

To locate this, you would need to search for the user in question, and select the eDocs page on their usercard. The option to generate a bundle will show in the options menu on the right hand side of that page:



The process would then match that of an Appraisal Bundle; click to generate, then the page will appear to confirm this is underway. After this has had time to generate (this may take slightly longer, depending on the number of eDocuments in this folder, but still between 1-2 minutes), this can be emailed or downloaded in order to provide this to the user.
