ADMINISTRATOR: Closing and making the account dormant

This article would only be applicable to users with an Administrator system role on their account, as this feature would not be accessible for non-administrator users.

Users' accounts are not deleted as a matter of policy. We will keep hold of the user's necessary information, should this be needed at a later point. Otherwise the said information would be lost if deleted. Moreover, deleting user's information permanently would cause many technological issues and could negatively affect our audit log. Instead, once a user leaves the organisation, their account can be closed by making them dormant.

In order to make a SARD account dormant, please do the following:

Go to ADMIN, then look up the user in question by their name or GMC number.
Once on user profile (information card), click Edit.
Under Account Details, tick the Dormant box, state Dormant Reason and End Date, then click Save.

Once this is done, the user will not be able to log in but their data is saved, should they ever need it. This article covers sending user information as a bundle, if requested.

Accounts made dormant do not count towards the overall number of available licences for your organisation.

If the account made dormant needs to be reactivated, then it is just a matter of unticking the Dormant box and saving this change on the user's profile. The user should use the same login credentials (registered email in particular) when logging in after their account was reactivated.
